Booking & the Pickup Time app
How do I book a transfer with Shuttle Vans Madrid?
The fastest way to book is the Pickup Time app or pickup-time.com, where you see your fixed fare and confirm in a few taps — it’s our main booking channel. You can also message us on WhatsApp at +34 662 12 55 13 or send an inquiry through our contact form. Whichever you choose, tell us the date and time, the pickup and drop-off, and how many passengers and bags, and we confirm everything in writing before the trip.
What can I do in the Pickup Time app?
In the Pickup Time app you can book a ride, see the fixed fare before you confirm, pay securely in the app, track your driver live on the day, and chat with your driver in real time. It’s free on the App Store and Google Play, and every booking is the same fixed price you’d get by WhatsApp or phone — the app just makes managing the trip easier.
Can I get a quote before I book?
Yes — send us the basic details (route, date and time, passengers and bags) by WhatsApp, the contact form or the Pickup Time app, and we give you a fixed price up front. There’s no obligation, and once you confirm, that agreed price is what you pay: no meter, no surge, no surprises at the end.
Prices & payment
How do you work out the price, and is it really fixed?
Every price is fixed and agreed in writing before your trip, based on the route, the date and time, and the vehicle you need — never a meter. The quote already covers door-to-door travel, tolls and waiting time, so the figure you confirm is the figure you pay, whether it’s a Barajas pickup at 3 am or a full-day chauffeur booking.
What payment methods do you accept?
That depends on how you book. Bookings made in the Pickup Time app or on pickup-time.com are paid with your stored card when you complete the booking, processed securely by Stripe — payment is always in-app, with no pay-on-the-day option. Bookings made directly with us by WhatsApp, phone or the contact form can be paid by card with the driver (the car carries a card terminal), in cash, by PayPal or by bank transfer, and business accounts can be settled by monthly invoice.
Airport transfers (Madrid-Barajas)
How long does the transfer take between Barajas and central Madrid?
A private transfer between Adolfo Suárez Madrid-Barajas and central Madrid takes roughly 20 to 35 minutes, depending on your terminal, the exact address and traffic. Barajas has four terminals (T1, T2, T3 and T4, plus the T4S satellite), and your driver goes to the one where your flight lands, so there’s no walking between terminals.
Do you also drive to the airport for departures?
Yes — as well as arrivals, we run the return leg to Barajas for your departure, picking you up punctually at your home, hotel or office and taking you door to terminal. Tell us your flight time and we plan the pickup with enough margin for check-in and security, all at the same fixed price.
Chauffeur, corporate & IFEMA
Can I extend an hourly chauffeur booking if my day runs long?
Yes — if your meetings or plans overrun, your driver can usually stay on beyond the booked block, subject to availability, and we confirm any additional time before it’s added. Waiting and multiple stops are already included within the hours you book, so the car stays with you between stops at no surprise cost.
Trips beyond Madrid
Do you pick up at Atocha and Chamartín train stations?
Yes — we collect from both Atocha and Chamartín stations, meeting you on arrival and helping with your luggage, then taking you door to door anywhere in Madrid or on to another city. It works the same way as an airport pickup: give us your train time and we’re there when you step off.
Fleet, drivers & extras
What vehicles do you have, and how much luggage fits?
Our fleet covers 1 to 55 passengers: an E-Class sedan for 1–3 people with 2 bags, a premium 7-seat V-Class, an 8-seat Vito, and Sprinter minibuses and coaches for groups of 16 to 55. As a rule each seat allows about one large suitcase plus hand luggage; tell us your group size and how many bags you have, and we assign the right vehicle.
Can I request child seats, travel with pets or add extra stops?
Yes — child and booster seats are available on request at no extra charge, and pets are welcome (a carrier or blanket helps for smaller animals). You can also add intermediate stops or a specific meeting point; just let us know when you book so we plan the time and the right vehicle in advance.
Are your drivers professional and English-speaking, and do you operate 24/7?
Yes — we operate 24 hours a day, every day of the year, with no night surcharge, and every driver in our fleet speaks English. Our drivers are professional, vetted and discreet, and our dispatch team handles bookings and changes in both Spanish and English at any hour, so you can always reach a real person.
For a wedding, do you provide a formally-dressed driver, and can we decorate the car?
Yes — for weddings the chauffeur dresses formally and the car arrives spotless. You’re welcome to decorate it with non-adhesive elements such as ribbons and magnetic or tie-on flowers, which we coordinate beforehand so nothing marks the vehicle. We plan the timings with you — including the photo session — and confirm them in writing.
